How to configure autoresponders in cPanel?

cPanel has a feature called auto-responder. It helps you send replies automatically without typing each time. This is really helpful when you cannot reply to every email instantly.

You may have already seen this in action. For example, after filling a form, you get a quick “Thank you for your response” email. Or you may set a message that tells senders you are out of the office. Both are auto-responders.

Steps to Create, Edit or Delete Auto-Responders

Auto-responders in cPanel can be managed easily. You can set them up and make changes with a few steps. You can even remove them whenever required.

1. Add a New Auto-Responder

  • Go to your cPanel home page and open the ‘Email’ section. Click on ‘Autoresponders’. Then click on ‘Add Autoresponder’.
  • Choose the character set you want. Enter the interval in hours so that the same sender does not get repeated replies too often. This controls how long the system waits before sending another reply to the same sender.
  • Next, type the email address for which you want the auto-responder. Add your name or leave it blank in the “From” field. Write a subject line. If you want to use HTML in your message body, tick the checkbox. Then enter the full message body.
  • Finally, choose when the auto-response should start and stop. Select ‘Immediately’ or set a custom time. For stop time, select Immediately or set a Custom stop.
  • Click on ‘Create or Modify’ to save.

2. Edit an Auto-Responder

To change the message or update details –

  • Go to ‘cPanel home screen’. Open the ‘Email’ section and click ‘Autoresponders’.
  • Find ‘Current Autoresponders’. Click ‘Edit’ next to the one you want to change.
  • Update the message, subject, or account details.
  • Click ‘Create or Modify’ to save the changes.

3. Delete an Auto-Responder

You can remove the auto-responder that is no longer useful.

  • Go to ‘cPanel home screen’. Open the ‘Email’ section and click ‘Autoresponders’.
  • Find ‘Current Autoresponders’. Click ‘Delete’ next to the one you want to remove.
  • Confirm by clicking ‘Delete Autoresponder’.

Conclusion

Auto-responders in cPanel keep communication smooth. They make sure people get instant replies. You can create multiple auto-responders for one email account. You can write in plain text or HTML.
